This Privacy Policy describes how we collect, use, disclose, and protect information when you access or use the Service.

1. Scope and Roles

  • Institutional Use: When an educational institution (“Institution”) provides access to the Service, the Institution is typically the controller of user content and student data, and Ingrid Labs acts as a processor/service provider on the Institution’s behalf.
  • Individual Use: If you use the Service directly, Ingrid Labs may act as the controller for your information.

2. Information We Collect

A. Account Information

  • Name, email, organization, role, authentication data

B. User Content

  • Audio recordings of lectures or practice sessions
  • Transcripts generated from audio
  • Slides, documents, and other materials you upload

C. Derived Data / Analytics

  • Metrics such as speaking pace, engagement signals, talk-time ratios
  • AI-generated summaries, feedback, and recommendations

D. Technical Data

  • IP address, device/browser type, log data, usage events

E. Support Communications

  • Messages, tickets, and feedback you send us

3. Sensitive and Student Data

  • The Service may process student voice/audio and related information when recordings include students.

Institutions are responsible for:

  • Obtaining appropriate consent and providing notices
  • Determining whether recordings constitute education records under applicable laws (e.g., FERPA)
  • We recommend using practice mode or instructor-focused capture when feasible to minimize student data.

4. How We Use Information

We use information to:

  • Provide and operate the Service (transcription, analysis, reporting)
  • Generate coaching insights and educational materials
  • Improve models, features, and performance (using de-identified/aggregated data where possible)
  • Ensure security, prevent fraud, and debug issues
  • Comply with legal obligations
  • Communicate with you about the Service

5. AI Processing and Outputs

  • The Service uses automated systems to generate transcripts and insights.
  • Outputs may be imperfect and are provided for informational purposes.
  • We do not use customer content to train public models; where model improvement occurs, we use de-identified or aggregated data unless otherwise agreed with the Institution.

6. Legal Bases (where applicable)

Depending on context, we process data based on:

  • Contract performance (providing the Service)
  • Legitimate interests (improving and securing the Service)
  • Consent (where required)
  • Compliance with legal obligations

7. Sharing and Disclosure

We do not sell personal information.

We may share information with:

  • Service Providers (e.g., cloud hosting, transcription/AI infrastructure) under contractual obligations
  • Institutions (administrators/authorized users within your organization)
  • Legal/Regulatory Authorities when required by law
  • Business Transfers (e.g., merger/acquisition), subject to confidentiality protections

8. Data Retention

  • We retain data only as long as necessary to provide the Service and fulfill contractual/legal obligations.
  • Retention periods may be configured by the Institution.
  • Users may request deletion subject to institutional policies and legal requirements.

We implement reasonable administrative, technical, and physical safeguards, including:

  • Encryption in transit and at rest (where applicable)
  • Access controls and least-privilege practices
  • Monitoring and incident response procedures

No system is completely secure; we encourage strong account security practices.

10. Your Rights

Depending on your location and role:

  • Access, correct, or delete your information
  • Restrict or object to certain processing
  • Data portability (where applicable)

For Institution-managed accounts, requests should typically be directed to your Institution first.

11. Children

The Service is not directed to children under 13. Processing of student data occurs under the direction of Institutions.

12. International Transfers

Information may be processed in the United States or other jurisdictions where our service providers operate, subject to appropriate safeguards.

13. Changes to This Policy

We may update this Policy. We will post the updated version with a revised effective date.
